All executive leadership training programs include information on how to lead successful meetings. So much of project management is spent in meetings that if they're not run correctly, they can derail plans and sabotage a company's efficiency.
Send the agenda and any materials that will be discussed to the meeting attendees. A key component of good project management training is being able to provide materials to all stakeholders at the appropriate time. It will improve your meeting efficiency and success if attendees understand topics and can prepare their input and questions ahead of time.
Prepare an agenda. Most business meetings will fall into one of three categories: To inform, get input, or to seek approval. Determine what the purpose of your meeting will be and craft the agenda.
Don't deviate from the agenda. It's normal that topics will come out of your meeting that will require further discussion and research. Schedule another meeting for this purpose. Letting your meeting go off on tangents is rarely good for productivity. The exception would be in brainstorming sessions.
Set a convenient time for all attendees. For regular standing meetings this typically means avoiding first thing on Monday morning and end of day Friday. Also avoid the lunch hours. Most companies use scheduling or calendaring software to facilitate meeting times and locations.
End each meeting with a review of action items. To keep your project on track review the responsibilities and or actions required of each person. This should also include expected deadlines and input on the resources required.
