A phone system that's good enough for a couple of people in a small office may no longer meet the needs of an expanding small business. When it comes time for a small business to install more than just a standard landline, there are many choices for phone systems, depending on the features that one needs. Here's how to select a small business phone system from among the many options.
If a VoIP system isn't practical, decide between a PBX, Key or KSU-less system. For a small office, a KSU-less system is inexpensive and easy to install. It can also be moved to a new office if needed, since it requires less wiring. However, it's not expandable as your small business grows, and many KSU-less phone systems have limitations, such as allowing only one or two internal calls at a time, and perhaps no individual voicemail boxes.
Key or KSU systems are good for offices with five to forty employees, and have many features of the more expensive PBX systems.
PBX phone systems cost more, but allow for many lines and can be customized to fit the needs of any growing small business. They can either be installed on your site with various lease or purchase options, or hosted at another location.
Decide whether you want a VoIP system or a system that's not internet-based. VoIP phone systems use the internet rather than regular phone lines, so you'll need a fast, reliable internet connection if you want to depend on a VoIP system. However, VoIP systems offer a good value, with many features at a reasonable cost.
Contact companies that supply the service you want and compare features and prices. Ask if you're required to buy hardware as well as software from them or if you can shop for a better deal on hardware. Compare the cost of leasing and purchasing, and also ask about financing, warrantees and expected repair and maintenance.
Set your priorities, listing the things that your business must have in its phone system and the things that you could do without. Consider how many lines and extensions you'll need, how many internal calls or conference calls you'll be making, and whether you need private voice mail boxes. Also think about future plans for expansion.
Before choosing a company, check their reputation online or by talking to their other customers. Make sure they have a good record for service, and see if you can have a demonstration of their system, to check the sound quality and ease of use before committing to installation.
